NEC Networks & System Integration Corporation (hereinafter referred to as the “Company”) will, in order to realize an inclusive and sustainable society created through communication, initiatives to Provide Value to Society by creating environment in which everyone can work more vigorously, developing pleasant and plentyful communities with cutting-edge technologies, and providing robust services that underpin safety and security in evolving society. As such, the Company will consider it the Company’s social responsibility to appropriately protect personal information (including individual number; hereinafter the same applies) and establish, carry out and maintain the privacy policy set forth below.

  1. The Company will appoint a responsible person at each department handling personal information by taking into consideration the Company’s business structure, and will acquire, use and provide appropriate personal information in accordance with the Personal Information Protection Management Systems Requirements (Japanese Industrial Standard JISQ15001). The Company will in particular take appropriate measures to ensure that personal information is not handled beyond the scope necessary for the achievement of the purpose of use specified.
  2. The Company will comply with laws and regulations, guidelines established by the State and other standards relating to handling of personal information.
  3. The Company will endeavor to prevent and remedy the leakage, loss or damage of personal information handled by the Company by taking appropriate and necessary security control actions (security measures).
  4. The Company will accept and appropriately respond to complaints and consultations from persons with regard to the handling of personal information and the Company’s personal information protection management system. You are kindly requested to contact the Company’s consultation office, which will be made known in advance.
  5. The Company will endeavor to continually improve its personal information protection management system including this Policy.

A. Matters to be Announced Based on Japan Industrial Standard (JIS Q 15001)

1. Purpose of Use of Personal Information

We make announcement of the purposes of use of personal information acquired by the Company for each type of personal information classified in the table below.

We may entrust the handling of personal information to our group companies, NEC, NEC group companies, sales stores and transaction partners within a necessary scope for the above purpose.
  1. Personal information concerning persons wishing to be employed  by the Company
  • Notification to persons wishing to be employed by the Company, provision of information, and screening for employment
  • Improvement of the Company Website designed for persons wishing to be employed by the Company
  • When we give notice of, or make public, a purpose of use different from the purposes of use above individually at the acquisition of personal information, we will use personal information for that purpose.
  • When we are requested to disclose personal information under a law or regulation by a court, law enforcement agency or any other public agency, we may provide personal information to such pubic agency.
  • We may record the content of telephone inquiries to the Company, as part of our maintenance and support services, for the purposes of use below:
  1. For accurately recording the details of a failure reported by a customer after the end of a telephone call
  2. For confirming the content of a telephone call of a customer, whenever necessary, after the end of the telephone call, for ensuring that accurate internal communication is performed when another department of the Company responds to the customer
  3. For utilizing the records at a later date for the evaluation and training of personnel who answer telephone calls and for the improvement of the quality of customer call handling

5. Procedure to Meet Request for Disclosure, etc.

The procedure of responding to request for disclosure, etc. of personal information subject to disclosure is described in the “Matters Concerning Procedure, etc.to Meet Request for Disclosure, etc.” (Paragraph C below).

B. Purpose of Use of Individual Number and Specific Personal Information

The purpose of use of specific personal information acquired and held by the Company shall be within the scope of Process Related to an Individual Number as prescribed in the Act on the Use of My Numbers to Identify a Specific Individual in the Administrative Procedure (the My Number Act).

2. Documents (Forms), etc. Submitted Together With Request for Disclosure, Etc.

When making a request for disclosure, etc., please download and fill out either of the written request forms prescribed by the Company as specified in Item (A) below according to the purpose of the request, and send it by post, enclosing the documents specified in Item (B) below for identity confirmation.

* When you can not download the request form required, please consult with the Personal Information Protection General Service Office (Paragraph D below) using the inquiry form. We will later mail the request form as you require.

(A) Request Forms Prescribed by the Company

When there is any deficiency or ambiguity in the submitted documents, we will notify you to that effect. If you have not submitted the corrected documents within the specified period, we will return the documents sent, deeming that a request for disclosure, etc. has not been made.

3. Method of Bearing or Collecting a Postage Charge for “Request for Disclosure” or “Request for Notification of Purpose of Use”

When making a “request for disclosure” or a “request for notification of purpose of use,” please enclose, together with the request form, a postage stamp for 550 yen (we will use it as a registered mail charge when giving our reply) (as of April 1, 2014).

If there is any deficiency in the return postage or if the return postage is not enclosed, will notify you to that effect. If you have not effected the required payment within the specified period, we will return the documents sent, deeming that a request for disclosure, etc. has not been made.

* You may be requested to pay additional charge, depending on the content. In such case, we will send you a relevant estimate in advance.

4. Other Precautions for “Request for Disclosure, etc.”

  • In cases falling under any of the items below, we may not accept a request for disclosure, etc. ・When the address described in the request from is not consistent with the address described in the identity verification document or the principal’s registered address held by the Company and, as a result, verification of identity of the principal can not be made ・In the event that a request is made by a representative and when the power of attorney can not be confirmed ・When, due to deficiency or ambiguity in the prescribed request form, a request can not be submitted within the specified period ・when the object of a request for disclosure does not fall under the “personal information subject to disclosure” ・When the measures based on the Personal Information Protection Act are not required
  • We will handle personal information acquired in connection with a request for disclosure, etc., only within the scope necessary for such request for disclosure, etc. We will retain the submitted documents for five years after completing our response to the request for disclosure, etc. and thereafter dispose of such submitted documents.
  • We may need some time until we can reply to a request for disclosure, etc., depending on the nature of the request.
  • Please note that, as a result of submitting a request for discontinuation of use of “personal information subject to disclosure,” a request for erasure thereof or a request for discontinuation of provision thereof to a third party, you may no longer be able to utilize services, etc. for such personal data (personal information).

(For Reference) Meaning of Term

1. Personal Information

“Personal Information” means information about an individual that can identify the specific individual by name, date of birth or other description contained in such information (including such information as will allow easy reference to other information and will thereby enable the identification of the specific individual).

2. Personal Information Protection Management System

“Personal Information Protection Management System” means, with regard to personal information provided for use in the Company’s business operations, the management system of such personal information including planning, implementation, inspection and review of the policy and system to protect the rights and interests of individuals, while taking into consideration the usefulness of such personal information.

3. Personal Information Subject to Disclosure

“Personal Information Subject to Disclosure” means personal information that consists of an assembly of information systematically arranged in such a way that specific personal information can be retrieved by a computer, or an assembly of information that is systematically arranged and classified in such a way that specific personal information can be easily retrieved as a result of putting in order such personal information according to a certain rule, and which includes a table of contents, indexes, codes and others, for which the Company owns the authority to respond to all requests by a principal including disclosure, correction, addition or deletion of the content, discontinuation of utilization, erasure, and discontinuation of provision to a third party.

4. Principal

“Principal” means the specific individual that the Personal Information can be used to identify.

5. Request for Disclosure, etc.

“Request for Disclosure, etc.” means, with regard to Personal Information Subject to Disclosure, the request by a principal for notification of objectives of use, for disclosure, for correction, addition or deletion of the content, for discontinuation of use, or for erasure and for suspension of provision to a third party.
